1. Description of the challenge

First: Youz is a mental health provider for youths between 0-23 years of age (and their families/care takers). We treat youths with mild to severe mental problems. We do that in an outpatient setting. We have psychologists, psychiatrists and social workers who perform the task necessary for good care/treatment.

Revenue is made via so called 'arrangementen' that are paid for treating a patient. An 'arrangement' is a sum of money that in the end is based on a certain amount of hours put in treatment. Doing too much within the 'arrangement' is not profitable; doing too little leads to consequences put in place by municipalities. In the end: time is the factor with which the organization makes money. And therefore, it is important to manage time. At the same time, the quality of treatment is judged by in the patient file. This has to be complete and clear (the patient has a right to see everything in his/her file). So registration is important in two ways: for quality and for making money. This leads to high pressure with professionals.

The goal of the challenge is to find an optimization of the registration process with individual professionals. With that there needs to be a balance between the important need to excel at registration of client contacts and file management (information should be complete, accurate and should be registered in a timely manner), and the pressure for professionals to achieve this (before the background that pressure on professionals is already very high). The result is that in the entire sector the goal is to reduce administrative burdens. At the same time: reducing the administrative burden, also leeds to a fear of having to see more patients and increasing mental pressure.

Our question:
How can we gamify, improve and lighten the necessary administrative burden and at the same time find ways to use the free falling time in a way that benefits both the organization and the professional that works for our organization?

As said above: organizing a good registration process that is simple and inviting for our professionals helps patients, professionals and the organization to make sure that information is correct, accessible and all steps that are necessary are in place to make money. Having said that: this challenge is important to make sure that professionals and clients are happy, that professionals don't get sick because of high pressure and that clients get the treatment they need without interruptions and with information available that is helpful for their own recovery. 

2. Expected outcome

A process/activity/way of thinking that is helpful for professionals to perform their tasks better and with a bigger feeling of control. This should result in better outcomes for the organization as a whole.

Our help is as intensive as needed and as short as possible. Youz offers support both online and in person, from prevention and advice to specialist mental health care, crisis support and treatment.
